Vault Group — Procedures for requesting, using, maintaining, and returning company equipment.

This policy outlines the procedures for requesting, using, maintaining, and returning company equipment at Vault. It applies to employees who require company-issued hardware for their work.

Equipment Issuance

For New Employees

  • During the hiring process, the Recruiter will confirm whether the new employee requires company equipment.
  • If equipment is needed, the Recruiter will submit a request to the IT Admin, specifying the required equipment.
  • The IT Admin will check the available stock and process the request.

For Current Employees

If an existing team member requires additional or replacement equipment, they must submit a request directly to the IT Admin.

Important: Equipment can only be provided to employees located in Moscow.

Equipment Repairs

Non-Mechanical Damage (Company Covers Repair Cost)

If the damage is not caused by external impact, the employee covers the cost upfront, and the company fully reimburses the expense.

  • Software malfunctions: system crashes, frequent errors, or performance issues not caused by external damage.
  • Hardware failures: internal component issues (e.g., motherboard, SSD, battery degradation) without visible physical damage.
  • Overheating issues due to internal defects rather than misuse.
  • Charging or power problems due to internal faults, not damaged ports or cables.
  • Network or connectivity failures unrelated to physical damage.

Mechanical Damage (Employee Covers Repair Cost)

If the damage is due to misuse, external impact, or improper handling, the employee is responsible for the full repair cost.

  • Cracked or broken screen.
  • Liquid spills causing malfunction.
  • Damaged ports or keyboard due to improper handling.

Equipment Return Upon Termination

Employees leaving Vault have two options:

  • Return to IT Admin: The IT Admin will inspect the equipment and return it to inventory.
  • Request to Purchase: Employees can submit a buyout request. If approved, the IT Admin will determine a fair price based on the device’s age and specifications. The buyout amount will be deducted from the final salary payout.

Final Provisions

  • Employees are responsible for using company equipment properly and securely.
  • The IT Admin reserves the right to inspect and audit company-issued equipment.
